We are looking for an energetic and engaging Executive Assistant to modl.ai’s Executive Leadership (CEO & COO). The Role

You will own the orchestration of our CEO and will support the COO as required. You’re highly organized and detail-oriented, able to complete a high volume of tasks with minimal guidance or supervision, and pride yourself on being a “safe pair of hands” for critical tasks. You work effectively and diplomatically in a fast-paced tech environment and are able to respond effectively to changing workloads and priorities. You work successfully in a team environment, build effective working relationships inside and outside of modl.ai, and have a high level of integrity and discretion in managing confidential information.

What You Will Do

  • Own the administrative functions for the CEO and COO: calendar management, travel arrangements, expense reports, gatekeeping, small event coordination, etc.
  • Support all executives with maintaining their agenda, attending events and keep minutes
  • Manage all outgoing or incoming correspondence including e-mail, letters, packages etc.
  • Compile data, reports, presentations, etc. in a professional and timely manner
  • Coordinate Board meetings: schedule, venue, logistics, etc.
  • Stay current on all activities/commitments of the Leadership team
  • Complete assigned special projects and ensure high quality deliverables within established timeframes
  • Maintain documentation with appropriate safeguarding of confidential or proprietary information
  • Manage electronic and paper records ensuring information is organized and easily accessible
  • Coordinate material prep for use in meetings, conferences, speaking engagements, etc.
  • Become leadership’s “lifeguard” attentively discerning and addressing risks before they become critical

What You Bring to the Team

  • Strong Google Workspace skills - Mail, Calendar, Docs, and Sheets
  • Prior experience supporting Director, VP, or higher level leadership
  • Solid experience with calendar management, travel coordination, expense reports, maintaining schedules, managing special projects
  • Exceptional written and oral communication both in native-level English and fluent Danish
  • Terrific work ethic with a positive, get-it-done attitude
  • Flexibility and availability after hours for critical one-off requests
  • Well-honed planning, time management and organizational skills with a high attention to detail
  • Well-reasoned stance on the acceptability of a ‘sandwich’ classification for hotdogs
  • Willingness to relocate to our head office in Copenhagen if not already based here
