Voxel is hiring an Executive Assistant! You will provide comprehensive administrative support and ensure smooth operation in a dynamic and growing startup environment. This role requires excellent organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Responsibilities
Manage calendars, schedule appointments, and coordinate meetings for the executive team
Handle and prioritize incoming communication (emails, phone calls, mail, etc.)
Maintain confidential files and records, ensuring compliance with data protection regulations.
Collaborate with other departments to facilitate efficient workflow and effective communication.
Enhance customer setup and provide proactive follow-up on outstanding invoices
Manage bill payments on a consistent weekly basis
Facilitate seamless onboarding for new employees by efficiently coordinating their first-day logistics
Support HR operations by assisting with paperwork filing and accurate data entry
Oversee the day-to-day operations of the office, ensuring a clean, organized, and efficient workspace.
Make travel arrangements for executives, including flights, accommodations, and ground transportation.
Prepare itineraries, agendas, and necessary documentation for business trips.
Assist in planning and organizing company events, meetings, and conferences.
Coordinate logistics, including venue selection, catering, audio-visual equipment, and guest accommodations.
Coordinate office maintenance and repairs, liaising with vendors and service providers as needed.
Manage office supplies, snacks, inventory, and equipment, ensuring timely replenishment and maintenance.
Manage daily lunch orders for those in the office
Implement and maintain office policies and procedures, streamlining administrative processes as appropriate.
Qualifications
Bachelor's Degree
Previous experience as an Executive Assistant is preferred.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong written and verbal communication skills, with exceptional attention to detail.
Proficient in using office productivity software (e.g., Microsoft Office, Google Suite).
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong problem-solving skills and the ability to adapt to changing priorities.
Professional demeanor, with the ability to interact effectively with all levels of staff and external stakeholders.
Flexibility to work in a hybrid office environment, spending 3-4 days per week in the San Francisco office.
The anticipated base salary range for this position is $80,000 - $100,000. Base salary ranges may vary by geographic location, experience, and qualifications.
