We're looking for a go-getter and high achiever who is excited to be a part of a dynamic growing start up. As Executive Administrative Assistant, you're rolling up your sleeves to stock the office one moment and then pivoting to support the c-suite the next. You're the glue that keeps everything running on a day-to-day basis. Your overall responsibility is ensuring that every member of the team has the necessary resources to succeed. Your tasks will vary between administrative, c-suite support, and more.
Responsibilities
- Manage and monitor executive meetings, providing timely reminders and assistance as appropriate
- Manage transportation and accommodations for executive team (air travel, hotels, rental cars, etc.)
- Daily administrative office needs
- HQ Front Desk presence to welcome and record visitors
- Stocking necessary office supplies and consumables
- Kitchen management - stock with healthy snacks, beverages, cleaning supplies, and dishes (disposable or reusable depending on facility)
- Maintain cleanliness, order, and overall office experience
- Company Phone Calls (official company number only)
- Amazon and Costco account / ordering management
- Managing Post (sending, collecting, and distributing)
- Managing Parcels (receiving and sending)
- Work with People Operations to order and send branded collateral to employees and key partners
- Manage office-wide activities and support logistics for on-site events
- Additional miscellaneous tasks as required for the success and growth of the business and the team
- Travel up to 15% of time between offices for frequent errands throughout the day (for restocking food and office supplies)
Job Requirements
- 4+ years experience in a coordination, assistant, or administrative capacity
- You are reliable, proactive, take initiative and have superior attention to detail
- You are comfortable working in a fast-paced environment
- You are comfortable working and communicating with executives
- You have customer service experience
- You have great interpersonal and time management skills
- You have a demonstrated record of working hard, being a trustworthy teammate, holding yourself and others to high standards, and being kind to others
Preferred qualifications
- Bachelor’s degree
- Experience with C-Suite executives
