We are seeking a highly motivated and organized individual to provide executive-level support to our CEO and other executives in Israel. The Executive Administrative Assistant will play a critical role in managing the day-to-day operations of the CEO’s office, ensuring the smooth running of the business, and maintaining the highest level of confidentiality at all times. The successful candidate will be a self-starter who can multitask, prioritize and deliver high-quality work in a fast-paced environment.

Responsibilities

  • Manage the CEO's calendar, schedule appointments, and ensure they are prepared for all meetings, calls, and events.
  • Coordinate and manage internal and external meetings, including logistics and follow-up.
  • Preparing facilities for scheduled events and arranging food and refreshments, if required.
  • Manage travel arrangements, including flights, hotels, and ground transportation, for the CEO and other members of the executive team as needed.
  • Act as the first point of contact for the CEO, screening all calls, emails, and visitors, and redirecting or handling inquiries as appropriate.
  • Write formal and personal emails on behalf of the CEO, displaying exceptional communication and interpersonal skills.
  • Work collaboratively with other members of the executive team and provide administrative support to other functions as needed.
  • Assist other executives with their calendars and meetings as needed.
  • Arrange lunch, laundry services, packages, and other ad-hoc errands for the CEO as needed.
  • Maintain daily expenses of the CEO and other executives, and prepare monthly or quarterly reports.
  • Prepare presentations, reports, and correspondence for the CEO, including conducting research and collecting data.
  • Motivate and support staff and other stakeholders when required, displaying exceptional emotional intelligence.
  • Support the CEO in the logistics and execution of certain CEO initiatives such as conference prep, symposium planning and other similar events.
  • Organize and maintain confidential files and documents, ensuring they are up-to-date and readily accessible.
  • Handle other duties as assigned by the CEO.

Job Requirements

  • 3+ years of experience as an executive assistant or equivalent role supporting a senior executive.
  • Excellent verbal and written communication skills with native or bilingual proficiency in English.
  • Outstanding organizational, time management, communication, and interpersonal skills.
  • Strong attention to detail and the ability to multitask effectively in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information.
  • Proficiency with Microsoft Office Suite and Google Suite.
  • Proven ability to work independently and in a team environment.
  • Bachelor's degree. Exact/Life sciences preferred.
